Get Green: 3 Simple Ways to Reduce Your Business's Paper Usage

Posted by Blue Technologies Ohio on Apr 6, 2018 11:21:00 AM

Did you know the average American uses more than 90 million short tons of paper every year, according to Waste-free Mail? That’s an average of 700 pounds per person!

With Earth Day just around the corner, it’s important to reflect on our corporate responsibility to continue improving office sustainability as technology improves. And the latest document management technologies make reducing your paper usage easier than ever.

Read on as Blue Technologies Chief Technology Officer Nano Zegarra shares three simple ways your business can “go green” through better document management:

1. Digitize your office:

Looking for a more efficient way to store, manage and secure your documents — while saving paper in the process? Go paperless with an enterprise content management (ECM) solution.

You’ll not only be benefiting the planet – but your bottom line. Green Irene estimates that eliminating paper from your workflow could potentially cut your business’ waste bill by up to 50 percent.

“Instead of having heavy paper forms, for example, ECM solutions enable you to make them 100 percent electronic,” says Zegarra. “You can create, route and complete – without needing to print a single sheet.”

2. Strategize your print process:

Do you know how much your business spends on printing – and how much of that is waste that could be avoided?

It’s probably more than you think, between forgotten printouts and unregulated print habits.

A Managed Print Services (MPS) expert can help you assess your current print process to find bottlenecks and inefficiencies – then develop a plan to improve operations.

“An MPS strategy doesn’t just help you to eliminate paper waste, but to streamline processes and recover productivity,” says Zegarra.

3. Reduce extra hardware:

Get the most out of your hardware by switching to a certified-green multifunction device (MFD). By combining print, scan and fax functions, you’ll reduce energy consumption and supplies.

What’s more, today’s MFDs can be loaded with a variety of apps – many of which help you regulate or mitigate paper usage altogether.

“For example, apps such as Dispatcher enable you to scan in a file and turn it into a Word document. Then you are able to edit, format and send out,” Zegarra says. “This is great because it cuts down on steps, saving time and boosting productivity.”
